Development of a long-term preservation plan
specific to the library and archives, physical relocation of collections,
purchase of supplies, digital reformatting of VHS tapes, and preservation
training for staff. The collection includes 1,998 books and audiovisual materials
on visual arts and museology and approximately 1,100 archives of artists and
exhibitions at the museum. In the days following Hurricane Maria (2017), the
first floor of the museum building was flooded, resulting in structural damage
and affecting 12 to 15 percent of these collections.
The Puerto Rico Art Museum looks
to perform with the Preservation Assistance Grant: a Preservation needs
assessment plan and the draft of a long-range preservation plan for care and
sustainability of the library and archive collection (Center of Documentation
and Curatorial Studies); to relocate the rest of the collection of the library from
the 1st floor to the 5th floor together with the archives of the Center of
Documentation and Curatorial Studies after the flash flood occurred on November
7, 2017 after hurricane Maria impacted; to purchase storage/preservation
supplies as per final recommendations of the assessment plan; and to perform
training on assessment, planning and preparedness for MAPR staff handling the
library’s collection and archives.

Disaster preparedness kit (Equipment)Name: Disaster preparedness kit
Description: Acquisition of two 'Just-in-case Case Disaster Kit' which is a complete disaster preparedness kit with a in a medium size. Supplied as two boxes, no transit trolley. A vas variety of supplies need in one place, sealed to ensure items are not removed until required. The 34 piece kit comprised of 273 individual items, covering Personal Protective Equipment, Clean-up, Survey and Damage Recording, Illumination, Water Barriers and absorbent materials, and emergency tools.
The kit has been created with the experience and support of conservators, curators, archivists, librarians and collection managers. The kit is designed to be used primarily by a 2 person team and provides a range of items to prevent further damage, document damage and then clean-up. The just-in-case disaster supplies kit is intended for use in small scale disasters such as flooding, exposure to elements or dust ingress. Each kit is sealed to prevent misuse of contents.

Abstract: This training was part of a series of virtual conferences called "Planes de emergencias para entidades culturales, organizaciones artísticas y sus colecciones" (Emergency plans for cultural entities, artistic organizations and their collections) that the Alianza Cultural para Emergencias de Puerto Rico (ACEPR) is providing. This third conference is named "Personnel and materials" where the materials acquired in this project for emergency preparedness will be showcase as reference for the participants. It took place on April 29, 2021 with a total of around 42 participants from different cultural institutions around the country.
The librarian is a volunteering member of the Cultural Alliance for Emergencies of Puerto Rico, ACEPR for its Spanish acronym. Organization with the mission of advice, inform and educate the public and private entities responsible for the management documentary, cultural and heritage assets in aspects such as planning, prevention, preparedness and response in case of emergencies that could threaten the well-being of the resources under their custody.
